Project Coordinator, C005274

Location: Northwood, United Kingdom
Work arrangement: Full-time on-site; remote work only exceptionally with prior approval
Security clearance: NATO Secret

Main duties

  • Support external project managers throughout the full project lifecycle and oversee local delivery.
  • Serve as the CSU focal point for incoming project-support requests, assessing local support, schedules, and plans while managing stakeholder expectations.
  • Coordinate project activities in line with NATO regulations and NCI Agency policies.
  • Track milestones, activities, budgets, resources, revenue, capital costs, risks, and delivery quality.
  • Prepare and maintain project plans, reports, meeting agendas and minutes, action trackers, version-controlled documentation, and lessons learned.
  • Support cost, technical, staffing, funding, contracting, and prioritisation assessments.
  • Coordinate Customer Requests, Northwood Change Requests, technical support, operational requirements, and contractor activities.
  • Liaise with technical staff, engineers, account managers, NATO bodies, nations, customers, ACO/ACT, and other NCI Agency locations.
  • Represent the CSU at committees, boards, working groups, conferences, and planning meetings.
  • Ensure deliverables meet agreed quality standards.
  • Keep current with project/service-management methods, tools, and relevant technologies.
  • Deputise for senior staff and perform other duties consistent with the role.

Essential requirements

  • Bachelor’s degree in a relevant discipline from a recognised university, plus at least two years of relevant post-degree experience.
  • Exceptionally, no degree may be accepted where the candidate demonstrates at least two years of substantial, progressive, directly relevant expertise.
  • Project-management experience covering business-process implementation and delivery within agreed cost, schedule, resource, and quality constraints.
  • Experience defining, documenting, advising on, and successfully completing small- to medium-scale projects.
  • Previous project-manager experience, including:
    • Project planning and daily direction
    • Funding estimates and contracting requirements
    • Status reporting and project reports
    • Briefings to senior officials
  • Experience supporting the lifecycle of information systems.
  • Experience coordinating operational and exercise requirements with technical and operational stakeholders.

Desirable qualifications and experience

  • Understanding of systems analysis and information-systems development.
  • Technical familiarity with distributed systems, command-and-control information systems, WANs, and LANs.
  • Knowledge of ITIL, project management, information and knowledge management, IS engineering, NATO resource management, and NATO CIS policies and organisation.
  • Postgraduate diploma in an IS-engineering-related subject.
  • Membership of a recognised professional institution.
  • Experience in an international military/civilian environment.
  • Knowledge of NATO’s organisation and responsibilities, particularly ACO and ACT.

Working conditions

Work is normally performed on-site, Monday to Friday between 09:00 and 17:00, with an unpaid lunch break. Approved remote working requires reliable communication, availability during agreed hours, secure system access, and compliance with Agency security and data-protection rules. Use of Agency vehicles requires prior authorisation; the contractor remains responsible for compliance, insurance, and associated liabilities.
